This Privacy Policy ("Policy") governs the collection, use, disclosure, retention, and protection of personal information by AI AIDE LLC ("AI AIDE," "Company," "we," "us," or "our") in connection with: (i) the website at https://aiaide.io (the "Site"); (ii) any mobile applications published by AI AIDE (the "App"); (iii) any web applications, client portals, or automation platforms operated by AI AIDE (the "Platform"); and (iv) all consulting, automation, and related services (collectively, the "Services").


By accessing or using any part of the Services, you acknowledge that you have read, understood, and agree to the practices described in this Policy. If you do not agree, you must immediately discontinue use of all Services. This Policy is incorporated by reference into our Terms and Conditions.


AI AIDE reserves the right to modify this Policy at any time. Material changes will be communicated as described in Section 17. Your continued use of the Services after the effective date of any revision constitutes your acceptance of the updated Policy.

1. SCOPE AND APPLICABILITY

This Policy applies to all individuals who interact with AI AIDE's Services in any capacity — including visitors to the Site, registered users of the App or Platform, clients who engage AI AIDE for consulting Services, and individuals who opt into SMS or other communications. This Policy does not apply to the data practices of third-party websites or services that may be linked from our Services.


If you access or use our Services on behalf of a business or organization, you represent that you have authority to bind that entity to this Policy, and that your entity accepts this Policy on its own behalf and on behalf of its authorized users.

2. INFORMATION WE COLLECT

2.1 Information You Provide Directly


We collect information you voluntarily submit through any channel, including:


• Identity and contact information: full name, email address, mobile phone number, mailing address, and job title.

• Business and organizational information: company name, industry, team size, operational workflows, revenue data, and any proprietary business details you share during consultations or service delivery.

• Account credentials: username, password, authentication tokens, and security preferences created when registering for the App or Platform.

• Payment and billing information: billing name, address, and payment card details transmitted directly to our PCI-DSS-compliant payment processor. AI AIDE does not store full payment card numbers.

• SMS opt-in consent data: your explicit consent choices for marketing SMS messages and/or non-marketing transactional/security SMS messages, including the date, time, method, source page, and exact consent language shown at the time of consent capture (see Section 5).

• Uploaded content and workflow data: files, documents, spreadsheets, workflow diagrams, and other materials you upload or create within the Services.

• Communications: messages, support requests, consultation notes, survey responses, testimonials, and all other correspondence you send us.


2.2 Information Collected Automatically — Site


When you visit the Site, we and our service providers may automatically collect:


• Log and technical data: IP address, browser type and version, operating system, referring and exit URLs, pages viewed, time on page, and request timestamps.

• Cookie and tracker data: identifiers placed on your device via cookies, pixel tags, web beacons, and similar technologies (see Section 7).

• Approximate geolocation: country, state, and city-level location derived from your IP address. We do not collect GPS location from the Site.

• Device metadata: screen resolution, language settings, browser plug-ins, and connection type.


2.3 Information Collected Automatically — Mobile Application


If you download and use any AI AIDE mobile application, we may additionally collect (subject to permissions you grant):


• Device identifiers: unique device ID, advertising ID (IDFA / GAID), and OS version.

• Precise geolocation (GPS): collected only if you grant location permission. Revocable at any time in your device settings.

• Push notification tokens: enabled only when you grant notification permission.

• Camera and microphone access: activated only when you grant access for specific features (e.g., document scanning, voice commands). Never accessed in the background.

• Contacts and calendar access: activated only with your permission to enable scheduling or workflow integrations.

• App usage and interaction data: features accessed, session duration, navigation paths, and feature engagement metrics.

• Crash and diagnostic reports: anonymized error logs and performance data used solely to fix defects.

• Mobile number and carrier information: collected when you opt into SMS communications through the App.


2.4 Information Collected Automatically — Web Application / Platform


When you use any AI AIDE web application or client portal, we may collect:


• Session and authentication data: login events, session tokens, IP addresses, and activity logs for security monitoring.

• Interaction and feature-usage data: clicks, form inputs, workflow actions, API calls, and navigation paths.

• API usage metrics: endpoints called, request volumes, response times, and error rates for performance monitoring and billing.

• Integration data: information exchanged with third-party tools you authorize our Platform to connect with (e.g., CRMs, Slack, Microsoft 365, Zapier, Google Workspace). We access only the data necessary for the integration you configure.

• Browser security signals: limited technical attributes used for fraud detection, bot prevention, and account-takeover protection.


2.5 Information Received from Third Parties


We may receive information about you from: scheduling platforms (e.g., Google Calendar); third-party AI model providers and APIs; analytics and performance-measurement providers; identity-verification and fraud-prevention services; social media platforms when you interact with us on those channels; and referral partners who introduce clients to our Services.

3. HOW WE USE YOUR INFORMATION

AI AIDE uses personal information only for legitimate business purposes, including:


• Service delivery, account management, and transaction processing.

• Consultation scheduling and delivery of AI automation solutions.

• SMS text message communications to users who have opted into the applicable SMS category, including marketing SMS messages and/or non-marketing transactional/security SMS messages (see Section 5).

• Push notifications where you have granted permission.

• Personalization of content and platform features.

• Analytics, performance monitoring, and product improvement.

• Marketing communications where you have consented or as permitted by law.

• Security monitoring, fraud detection, and abuse prevention.

• Legal compliance, enforcement of our agreements, and protection of our rights.

• Internal record-keeping, financial reporting, tax compliance, and audit purposes.

4. LEGAL BASIS FOR PROCESSING

Where applicable law requires a legal basis for processing personal information (e.g., GDPR, UK GDPR), AI AIDE relies on:


• Contract performance: processing necessary to provide the Services you requested.

• Legitimate interests: analytics, security, fraud prevention, and marketing to existing contacts.

• Consent: optional cookies, SMS marketing, transactional/security SMS where applicable, push notifications, and geolocation access.

• Legal obligation: compliance with applicable law and regulatory requirements.


You may withdraw consent at any time without affecting the lawfulness of prior processing.

5. SMS / TEXT MESSAGE COMMUNICATIONS (TWILIO)

IMPORTANT — SMS CONSENT DISCLOSURE: AI AIDE LLC sends text messages using Twilio, Inc. Our toll-free number is +1 (877) 326-4106. AI AIDE LLC provides separate opt-in choices for marketing messages and non-marketing transactional/security messages. Consent is not a condition of purchasing any product or service. Message and data rates may apply. Reply STOP to cancel at any time. Reply HELP for help.

5.1 Our SMS Program

AI AIDE sends text messages exclusively through Twilio, Inc., a licensed cloud communications platform. All outbound SMS originate from our Twilio-provisioned toll-free number: +1 (877) 326-4106.

AI AIDE LLC may send SMS messages to users who have provided express consent. AI AIDE LLC uses separate opt-in choices for marketing messages and non-marketing transactional/security messages.

5.2 Marketing SMS Messages

If a user opts into marketing SMS messages, AI AIDE LLC may send marketing and promotional text messages. These messages may include product updates, special offers, announcements, educational content, feature updates, service updates, and promotional information about AI AIDE LLC products and services.

Marketing SMS messages are sent only to users who have selected the separate marketing SMS consent checkbox or otherwise provided express consent for marketing SMS messages. Message frequency varies. Message and data rates may apply. Users may reply STOP to cancel and HELP for help.

5.3 Transactional and Security SMS Messages

If a user opts into transactional and security-related SMS messages, AI AIDE LLC may send non-marketing transactional and security-related text messages. These messages may include verification codes, two-factor authentication codes, account notifications, password change alerts, login alerts, unrecognized device alerts, service-related updates, and security alerts.

Transactional and security-related SMS messages are sent only to users who have selected the separate transactional/security SMS consent checkbox or otherwise provided affirmative consent for these messages. Message frequency varies based on account activity and security events. Message and data rates may apply. Users may reply STOP to cancel and HELP for help.

5.4 Separate SMS Consent Choices

AI AIDE LLC provides separate opt-in choices for marketing SMS messages and non-marketing transactional/security SMS messages.

Opting into marketing SMS messages does not automatically opt a user into transactional/security SMS messages. Opting into transactional/security SMS messages does not automatically opt a user into marketing SMS messages. Users may choose to opt into one category, both categories, or neither category.

SMS consent is not bundled with acceptance of this Privacy Policy or our Terms and Conditions. Providing a phone number alone does not constitute SMS consent.

5.5 How to Opt In

Users may enroll in SMS communications only through affirmative opt-in methods, including:

• Selecting the separate marketing SMS consent checkbox on a website form, application signup flow, onboarding screen, or account settings page.
• Selecting the separate transactional/security SMS consent checkbox on a website form, application signup flow, onboarding screen, or account settings page.
• Texting a designated keyword to +1 (877) 326-4106 and completing any required confirmation step, if keyword opt-in is enabled for the applicable SMS program.
• Completing an in-app SMS opt-in flow and selecting text messaging as a communication preference.
• Providing documented consent during a client engagement, followed by a confirmation text if double opt-in is used.

Neither marketing nor transactional/security SMS checkboxes are preselected. Each checkbox must be actively selected by the user.

5.6 SMS Consent Records

AI AIDE LLC may record and retain SMS consent information, including:

• The user's mobile phone number.
• Whether the user opted into marketing SMS messages.
• Whether the user opted into transactional/security SMS messages.
• The date and time of opt-in.
• The opt-in method used.
• The source page, application screen, or signup workflow where consent was collected.
• The exact consent language shown at the time of opt-in.
• IP address, account ID, or device identifier, where technically available.
• Opt-out timestamps and opt-out method.
• Twilio message metadata, delivery status codes, and message identifiers where applicable.

Marketing SMS consent and transactional/security SMS consent may be recorded separately.

5.7 How to Opt Out

Users may withdraw SMS consent at any time by:

• Replying STOP to any message sent from +1 (877) 326-4106.
• Texting STOP to +1 (877) 326-4106 at any time.
• Updating communication preferences in account settings, where available.
• Emailing cyberdesigner@aiaide.io and requesting removal from SMS communications.

After a valid STOP request, AI AIDE LLC will send no further SMS messages to that number except a single opt-out confirmation and any messages required by law. Replying STOP may stop all SMS messages from AI AIDE LLC’s toll-free number.

Users who wish to stop marketing SMS messages while continuing to receive transactional/security SMS messages may update communication preferences in their account settings, where available, or email cyberdesigner@aiaide.io with the subject line “SMS Marketing Opt-Out.”

5.8 Help

Text HELP to +1 (877) 326-4106 at any time to receive contact information, opt-out instructions, and a link to this Policy. Users may also email cyberdesigner@aiaide.io for SMS-related assistance.

5.9 Message Frequency and Carrier Costs

Message frequency varies by account activity, communication preferences, and selected SMS categories.

Marketing messages may be sent up to 4 times per month. Transactional and security-related messages are sent as triggered by account activity, service activity, login activity, authentication events, or security events.

Message and data rates may apply based on the user's mobile carrier and plan. AI AIDE LLC is not responsible for charges imposed by a wireless carrier.

5.10 Information Collected Through SMS Communications

Enrollment in SMS communications may result in collection of the user's mobile telephone number, mobile carrier information, opt-in consent records, opt-out records, message delivery status, Twilio message identifiers, and the content of inbound messages sent to our toll-free number.

This information is stored in AI AIDE LLC systems and may also be processed by Twilio for message delivery, routing, logging, compliance, and support purposes.

5.11 Twilio as a Sub-Processor

Twilio processes mobile numbers, message content, message metadata, and delivery information on AI AIDE LLC’s behalf as a data sub-processor. By opting into SMS, users acknowledge that their phone number, message content, and related SMS metadata will be transmitted through Twilio's infrastructure.

5.12 No Sale or Sharing of SMS Consent

AI AIDE LLC does not sell, rent, or share SMS opt-in consent or phone numbers with third parties for their marketing purposes.

Phone numbers collected through SMS opt-in are used to deliver the messaging categories the user selected, support SMS compliance, maintain suppression lists, respond to support requests, and satisfy legal, carrier, and platform requirements.

5.13 Supported Carriers

Our toll-free SMS program is supported by major US wireless carriers including AT&T, T-Mobile, Verizon, and others. Carrier support may vary. Contact us at cyberdesigner@aiaide.io if you experience delivery issues.

6. SHARING AND DISCLOSURE OF INFORMATION

AI AIDE does not sell, trade, rent, or otherwise transfer your personal information to third parties for their own independent marketing or commercial purposes. AI AIDE LLC does not sell, rent, or share SMS opt-in consent or phone numbers with third parties for their marketing purposes. We may share your information only in the following limited circumstances:


• Service providers and sub-processors: Vendors who process data on our behalf (including Twilio, Google, cloud hosting providers, payment processors, support platforms, and crash-reporting SDKs) under written data-processing agreements. They may only use your data as directed by AI AIDE.

• Third-party AI model providers: When we transmit data to AI APIs to generate automation outputs on your behalf, subject to our agreements with those providers.

• Integration partners: Third-party platforms you authorize our Services to connect with, receiving only the data necessary to operate the integration you configure.

• Professional advisors: Attorneys, accountants, and insurers under strict confidentiality obligations.

• Business transfers: In connection with a merger, acquisition, or asset sale, with prior notice to you as required by law.

• Legal and regulatory disclosure: When required by applicable law, court order, or lawful governmental process. We will disclose only the minimum information required and, where permitted by law, will notify you before disclosing.

• Protection of rights and safety: To investigate or prevent illegal activity, policy violations, fraud, or physical harm.

• With your consent: To additional parties where you have provided specific, informed consent.

7. COOKIES AND TRACKING TECHNOLOGIES

The Site and web Platform use cookies and similar technologies (pixel tags, web beacons, browser local storage) to deliver, secure, and improve our Services.


Categories of cookies we use:


• Strictly necessary: Required for core functions such as session management and authentication. Cannot be disabled without impairing the Services.

• Analytics: Aggregated, anonymized data about how visitors interact with the Site (e.g., Google Analytics). Used solely to improve content and performance.

• Functional: Remember your preferences, such as login state, language, and display settings.

• Marketing and advertising: Serve relevant promotional content and measure campaign effectiveness. Activated only with your explicit consent.


You may manage cookie preferences through the consent banner on the Site or through your browser settings. Disabling strictly necessary cookies may impair site functionality. Our mobile App uses device-level advertising identifiers that you may reset or opt out of through your device's privacy settings.

8. MOBILE APPLICATION PRIVACY

8.1 Device Permissions


Our App requests permissions only for specific, disclosed features. You may grant or revoke permissions at any time in your device settings; revocation disables only the associated feature and does not affect your ability to use other parts of the App. Permissions we may request include: Location (Precise/GPS), Camera, Microphone, Notifications, Contacts, Calendar, and Storage/Files.


8.2 Analytics and Crash Reporting


The App may incorporate third-party SDKs (e.g., Firebase Crashlytics or equivalent) that collect anonymized diagnostic data including error logs and performance metrics. This data is used solely to identify and fix defects and does not personally identify you.


8.3 In-App Purchases


Paid features or subscriptions are processed by Apple App Store (iOS) or Google Play (Android) pursuant to their respective payment and privacy policies. AI AIDE does not collect or store payment card information from mobile in-app purchases.

9. AI-POWERED SERVICES AND DATA PROCESSING

________________________________________


Delivery of our Services may involve transmitting data you share with us to AI and machine learning platforms to generate insights, draft outputs, or automate processes. When this occurs:


• We process data through AI platforms only as instructed by you and as necessary to deliver the Services described in our agreement with you.

• We maintain data-processing agreements (DPAs) with AI sub-processors where required by applicable law.

• We do not use your personal data, or data you share on behalf of your clients, to train third-party AI foundation models without your separate, explicit, and documented consent.

• AI-generated outputs stored in your account are subject to this Policy and your service agreement.

• You represent and warrant that you have all necessary rights, licenses, and consents to share any third-party data with AI AIDE for processing under this Policy.


AI AIDE makes no representation that AI-generated outputs are accurate, complete, or suitable for any particular purpose. You are solely responsible for reviewing and validating any AI-generated content before acting on it.

10. DATA RETENTION

We retain personal information for as long as necessary to fulfill the purposes described in this Policy and to comply with legal obligations:


• Active account data: retained for the duration of your account and up to 3 years after account closure.

• SMS opt-in and consent records: minimum 5 years to satisfy TCPA recordkeeping, carrier audit requirements, consent verification, suppression-list management, and SMS compliance requirements.

• Consulting and service records: up to 7 years for tax, audit, legal, and insurance compliance.

• Payment records: as required by financial regulations, typically 7 years.

• Identifiable analytics and usage logs: purged or anonymized within 12–24 months of collection.

• Crash reports and diagnostic data: purged within 90 days.


Upon expiration of the applicable retention period, we securely delete or irreversibly anonymize personal information using industry-standard practices.

11. DATA SECURITY

AI AIDE implements commercially reasonable administrative, technical, and physical safeguards including: TLS 1.2+ encryption in transit for all data transmitted between your device and our servers; encryption at rest for sensitive personal data; role-based access controls and least-privilege permissions; multi-factor authentication (MFA) required for employee and contractor access to production systems; regular vulnerability assessments and penetration testing; and documented incident-response procedures.


No electronic transmission or storage system is guaranteed to be 100% secure. You transmit information at your own risk and are responsible for maintaining the confidentiality of your account credentials. Notify us immediately at cyberdesigner@aiaide.io if you suspect unauthorized access to your account.


TO THE MAXIMUM EXTENT PERMITTED BY APPLICABLE LAW, AI AIDE EXPRESSLY DISCLAIMS LIABILITY FOR UNAUTHORIZED ACCESS TO OR DISCLOSURE OF PERSONAL INFORMATION RESULTING FROM CAUSES BEYOND AI AIDE'S REASONABLE CONTROL.

12. LIMITATION OF LIABILITY FOR DATA PROCESSING

AI AIDE's liability arising from or related to this Policy is subject to the limitations in our Terms of Service, incorporated herein by reference. To the maximum extent permitted by applicable law:


• AI AIDE shall not be liable for indirect, incidental, special, consequential, punitive, or exemplary damages arising from any data incident or privacy breach, even if advised of the possibility of such damages.

• AI AIDE's total aggregate liability for claims arising under this Policy shall not exceed amounts paid by you to AI AIDE in the 12 months preceding the event, or US $100, whichever is greater.

• AI AIDE shall not be liable for unauthorized access resulting from your failure to maintain credential confidentiality, your sharing of credentials with third parties, or causes outside AI AIDE's reasonable control.

13. YOUR PRIVACY RIGHTS

13.1 All Users


Regardless of location, you may contact us to: request access to and a portable copy of your personal information; request correction of inaccurate or incomplete information; opt out of marketing emails by clicking "Unsubscribe" in any marketing email or contacting us directly; opt out of SMS per Section 5.7; and request deletion of your account and personal data, subject to legally mandated retention periods in Section 10.


We will respond to verifiable requests within 30 days, or within 45 days where an extension is permitted by applicable law. We may require you to verify your identity before processing your request.


13.2 California Residents (CCPA / CPRA)


California residents have the right to: know the categories and specific pieces of personal information collected, used, and disclosed; request deletion; correct inaccurate personal information; opt out of the sale or sharing of personal information; limit use of sensitive personal information; and non-discrimination for exercising CCPA/CPRA rights. AI AIDE does not sell personal information, and AI AIDE LLC does not sell, rent, or share SMS opt-in consent or phone numbers with third parties for their marketing purposes. Submit a verifiable consumer request to cyberdesigner@aiaide.io.


13.3 Texas Residents (TDPSA)


Texas residents have the right to access, correct, delete, and obtain a portable copy of personal data we process, and to opt out of processing for targeted advertising. Contact cyberdesigner@aiaide.io to submit a request or appeal.


13.4 EEA / UK Residents (GDPR / UK GDPR)


EEA and UK residents have the rights of access, rectification, erasure ("right to be forgotten"), restriction of processing, data portability, and the right to object to processing based on legitimate interests. You may withdraw consent at any time and lodge a complaint with your applicable supervisory authority. Contact cyberdesigner@aiaide.io to exercise these rights.

14. CHILDREN'S PRIVACY

The Services are not directed to individuals under the age of 13 (or 16 in applicable jurisdictions). We do not knowingly collect personal information from minors. If we learn we have inadvertently done so, we will promptly delete such information. Contact us at cyberdesigner@aiaide.io if you believe we have collected a minor's data.

15. INTERNATIONAL DATA TRANSFERS

AI AIDE is headquartered in the United States. Your information may be transferred to, stored in, and processed in the United States or other countries where our service providers operate. For transfers from the EEA or UK, AI AIDE relies on approved mechanisms such as Standard Contractual Clauses (SCCs). By using the Services from outside the United States, you acknowledge and consent to such transfers.

16. THIRD-PARTY LINKS AND INTEGRATIONS

The Services may link to or integrate with third-party websites and platforms. AI AIDE is not responsible for the privacy practices, content, or security of any third-party service. When you authorize an integration between our Platform and a third-party service, you grant both AI AIDE and that third party access to the data necessary to operate the integration. AI AIDE is not responsible for any third party's handling of data received through such integrations.

17. CHANGES TO THIS PRIVACY POLICY

AI AIDE may update this Policy at any time. When we make material changes, we will: (i) update the Effective Date at the top of this Policy; (ii) notify registered users by email; and (iii) post a prominent notice on the Site and within the App or Platform. For changes materially affecting our SMS messaging practices, we will provide at least 30 days' advance notice. Your continued use of the Services after the revised effective date constitutes your acceptance of the updated Policy.

18. GOVERNING LAW AND DISPUTE RESOLUTION

This Policy is governed by the laws of the State of Texas, United States, without regard to its conflict-of-law provisions. Any dispute arising under this Policy that cannot be resolved informally shall be submitted to binding arbitration or resolved in the state or federal courts of Dallas County, Texas, in accordance with AI AIDE's Terms of Service.
